Google Meet integrates directly into Canvas, allowing instructors to schedule, host, and manage virtual class sessions. You can host a meeting, enable automatic sharing of meeting recordings, and allow students to access meeting artifacts directly within your course menu.
We highly recommend the following practices in order to reduce the chances that Google Meet will shutoff or stop recording in the middle of a class period:
- Keep your laptop plugged in the whole time
- If you launch the Google Meet session early, before class starts, and no students show up for two minutes, then Google Meet will send a pop-up asking if you are still there. You must select yes or Google Meet will disconnect. You can turn this pop-off off, however. To do so, please see "Step 5" under the subsection "Recording a Google Meet."
- Make sure that you turn your wireless adapter off for about 30 seconds after you enter the room, and before you start your session. Laptops tend to "stick" to the wireless access point that they were connected to last - even when you close the lid and walk downstairs. If your laptop can see the last access point you were connected to, it will try to stay connected to that one even if there is another access point right over your head. Turning wireless off and on forces the laptop to look for new access points. This is probably the most common solution to wireless problems that we encounter.
- If there is a wired Ethernet cable that you can connect to, use that. This does not share the connection with anyone else, is always more stable, and we can gather statistics on the port much easier than wireless should the connection fail.
- Google Meet will sometimes disconnect if your computer goes into low power mode. If you cannot plug your computer in to charge (let's say you forgot to bring your charger to class), then close out as many other applications / browsers as possible to conserve power and to try to avoid low-power mode. You may also go to your settings and force your computer not to enter low power mode, but obviously this increases the risk that your entire computer might run out of battery during the session as well.
Schedule a Google Meet
Step 1: In Course Navigation, click Google Meet, then click on New meeting.
Step 2: Enter a Title and Description for your meeting. Select Set date and time to choose the start date, start time, end time, and end date. Use the recurrence dropdown menu if you need repeating sessions.
Step 3: Configure meeting settings: The host must join before anyone else, Set participant permissions for screen sharing, chat, and reactions. Meeting artifact sharing; Toggle this option so recordings, transcripts, and notes are shared automatically with students in the Meeting Artifacts tab (illustration further down).
Step 4: Click Save in the top right corner to schedule the meeting with all of your preferred settings.
Step 5: Join the meeting by clicking on "Join."
Recording a Google Meet
Step 1: Once inside the meeting, click the "More Options "icon (three vertical dots) in the bottom toolbar.
Step 2: In the popup menu, the "recording" option should be enabled. If it is not, then you need to reach out to support central and ask that IT assign you a recording license in Google Workspace. Once you select "Recording" from the popup menu, choose your recording options in the side panel (such as adding captions or automated notes), then click "Start recording."
Step 3: A red recording indicator will appear in the top toolbar during the session. You may receive this prompt below in the process. Just clicked "Start."
Step 4: To end the recording, click the Recording indicator at the top of the screen or return to the "More options" menu and select Stop recording.
Step 5: Turn-off "Leave Empty Calls" setting. This will prevent Google Meet to remove you from the call after a few minutes joined if no one else is in the Google Meet
Note: Processed recordings, and transcripts automatically appear in Canvas under the Google Meet in the Meet artifacts tab if you toggled "Meeting Artifact Sharing" on when setting up the meeting. Meeting recordings are also saved directly to the host's Google Drive in the Meet Recordings folder.
Success ! Your Google Meet session is now scheduled and linked to your Canvas course. Students can join directly from the course menu and access meeting recordings and notes in the Meet artifacts tab after the session ends. If you have questions or need help, email northinstitute@oc.edu.
