This article explains how to transfer your grades from Canvas to FacultyTools either manually or by using the automatic gradebook transfer function in FacultyTools. The article also considers how to make sure your Midterm grade is accurate before transferring student grades.
Step 1: Head to facultyools.oc.edu and select "Gradebook."
Step 2: Select the appropriate term and the appropriate grading period (Midterm or Final Grades) from the dropdown menus.
Step 3: Select "Transfer Grades" if you want to automatically pull grades from your Totals column in Canvas, or select "Manual Grade Entry" if you would like to manually enter the student grades.
Step 4: Make sure all the relevant fields are completed before submitting your grades.
Below are a few helpful explanations for what grades are included in the totals column, how to manage what is included, and how to ensure your Midterm Grade is accurate.
What is Included in the Total Column Grade in Canvas?
The Total Column grade calculation is based on the courses setting for grading:
- Total Points
- Weighting by Assignment Groups
Assignment Inclusion: The Total Column grade calculation includes assignments if:
- They are not excluded from total grade in the assignment settings
- They are not marked as excused for the student in the Grade Book
- They have a grade assigned. Having a grade assigned means the assignment must have a number grade not a ‘-‘ in the grade column field.
If you don’t want assignments included in the Midterm grade, then don’t post grades for these assignments yet, or temporarily mark the assignment as not included. If you do this, you will need to these items back to "included" before your Final grade transfer. How to Automatically Set Missing Assignment Grades to Zero Before Transferring Grades
You can set the gradebook default to give zeros after an assignment due date is passed, however, this only applies to certain types of submissions and has a few other rules. If you need help with how to do set your gradebook to give automatic zeros, please see the article "How to Manage the Canvas Gradebook," specifically the "Managing Late Policy" section.
The automatic zero setting works according to the following rules in Canvas:
- Submission Type Restrictions: It automatically works for Online submission types (like file uploads, text entries, or Canvas Quizzes). It does not automatically apply to On Paper or No Submission assignments unless you manually set their status to "Missing". If you have never heard of "On Paper" or "No Submission" assignments, then this likely does not apply to you.
- Already Graded Work: If you have manually entered a grade or a 0 prior to or after the due date, the missing policy will not overwrite your existing entries.
- Missing Due Dates: Assignments without a due date set in Canvas will never trigger the automatic missing policy.
- Late Submissions: If a student submits after the due date, Canvas automatically changes the status from Missing to Late, but it will retain the entered score (0) until you update it or let a Late Deduction policy take over.
How to Set a Default Grade for an Individual Column?
This might be helpful in a column where you forgot to put a due date and have not individually typed in a "zero" (or a different grade, as the case may be), and you need to change lots of students grades in a hurry.
Step 1: Click on the three dots at the top of the column:
Step 2: Select "Default Grade."
Step 3: Insert the default grade for the assignment (a zero for missing work), but do not select "Overwrite already-entered grades" unless you want to erase grades that you have already given.
To verify that a step was successful, check that all blank dashes (-) in the target column have turned into 0s while your existing student grades remain untouched.
Grading Late Work
If you used the automatic zero function for late work, the grade will remain a zero even when a student submits the late work. If a student has submitted late work, it will appear in your "To-Do" list on your Canvas dashboard. Look at the right side of your Canvas Dashboard or main course home page. Look for the assignment under the To-Do list with an orange icon indicating pending submissions. Clicking directly on the assignment name opens SpeedGrader, taking you straight to the submissions that need grading.
